This policy explains how your personal information is handled when you use the Eterna Wellness Lab app and booking service (“the App”). The App is provided by Eterna Wellness Lab, East Grinstead, RH19 3DJ, United Kingdom (“we”, “us”), who is the data controller for your information.
Account information. When you create an account we collect your name, email address, and optionally your phone number and date of birth. We use this to identify you, manage your bookings, and contact you about them.
Bookings and purchases. We keep a record of the sessions you book, attend or cancel, your membership status, class/session credits, gift cards, and purchase history. We use this to provide the service โ for example so reception can check you in and your membership entitlements apply automatically.
Payment information. Payments are processed by Stripe. Your card details are entered directly with Stripe and are never stored on our systems โ we only keep a reference to the transaction (amount, date, what it was for). Stripe’s handling of your data is described in Stripe’s own privacy policy (stripe.com/privacy).
Records from our previous booking system. If you were a customer before we launched this App, we may hold a record of your name, contact details and visit history transferred from our previous booking provider, so your history is available when you sign up. This record is linked to your account only when you sign up with the matching email address.
Technical information. The App stores a login token on your device so you stay signed in. We do not use advertising trackers and we do not sell your data.
We process your data to perform our contract with you (managing your account, bookings, memberships and payments), for our legitimate interests (keeping the service secure, preventing fraud, keeping accurate business records), and to meet legal obligations (e.g. accounting and tax records). Where we ever rely on consent (such as optional marketing), we will ask you first and you can withdraw it at any time.
We use a small number of service providers to run the App, acting on our instructions: Supabase (secure database and login hosting), Stripe (payment processing), and Vercel (app hosting). We share data with them only as needed to provide the service. Some providers may process data outside the UK/EEA; where they do, transfers are protected by recognised safeguards such as the UK International Data Transfer Agreement or EU Standard Contractual Clauses. We do not sell or rent your personal information to anyone.
We keep your account information for as long as your account is active. Transaction records are kept for as long as UK tax and accounting law requires (normally six years). If you delete your account, we remove or anonymise your personal information except where we must keep specific records to meet those legal obligations.
Under UK data protection law (UK GDPR) you have the right to access the personal data we hold about you, correct it, have it deleted, restrict or object to its processing, and receive a copy in a portable format. You can delete your account at any time from the App (Account → Delete my account). To exercise any other right, contact us at info@eternawellnesslab.com. If you’re unhappy with how we handle your data you can complain to the UK Information Commissioner’s Office (ico.org.uk).
Accounts may only be created by people aged 16 or over. Bookings for children’s classes are made through a parent or guardian’s account.
If we make material changes we’ll update this page and the “last updated” date above, and where appropriate let you know in the App.
